[0:00:19] Voice 4: So Mark and I are going to be co-hosting this with you.
[0:00:23] Voice 4: And we're hoping this will be sort of an intimate, casual, question-filled, you know, an evening together.
[0:00:29] Voice 4: First, I'll just start us off with a territorial acknowledgement, just to acknowledge that we are respectfully acknowledging the lands and waters that encompass the Trust area have been home to Indigenous Peoples since time immemorial.
[0:00:41] Voice 4: And the Islands Trust has a commitment to reconciliation and working together to protect this ecologically, culturally, and spiritually significant region in the Salish Sea.
[0:00:50] Voice 4: I'm currently coming in from Lekwungen territory of the Esquimalt and Songhees First Nations,
[0:00:55] Voice 4: but I'm very grateful to live in the Wissanich people's territories. So with that, thank you
[0:01:02] Voice 4: everyone for coming tonight. The goals of tonight are going to be to give you an overview of the
[0:01:08] Voice 4: website and explain to you how it's come to be the way it is. We're going to give you an overview of
[0:01:13] Voice 4: the site menus, the features and the tools of the site, and offer an opportunity for questions both
[0:01:18] Voice 4: both as we go along and then at the end for sure.
[0:01:22] Voice 4: Is there anything that any of you really wanted us to cover tonight before
[0:01:26] Voice 7: we get started?
[0:01:27] Voice 7: Okay, so we'll stick with that agenda,
[0:01:34] Voice 4: but feel free to let us know if there's things that you'd like us to dive deeper on.
[0:01:38] Voice 4: We're going to start off tonight with Mark kind of giving an overview of the website that I was just used to have
[0:01:44] Voice 4: and how we got to the process of launching this new one just about a year and a half ago.
[0:01:49] Voice 4: So maybe, Mark, do we want to start off with that?
[0:01:51] Voice 1: sure okay
[0:01:52] Voice 1: and i'll just i'll just share um claire you're welcome to jump in because this isn't my
[0:01:59] Voice 1: day job training on websites so if i'm if i get off track or if i get uh if i miss the message
[0:02:05] Voice 1: feel free to slip it in um and then for for all participants here at any point
[0:02:12] Voice 1: please feel free to ask questions i'll ask though that when i'm chatting um that claire you keep an
[0:02:18] Voice 1: eye open and interrupt so I don't miss somebody that's waving a hand or raises their digital hand
[0:02:24] Voice 1: so as far as I'm concerned either way works or you can even interject with your audio this is not a
[0:02:31] Voice 1: formal meeting so brief history of the website I've been here a long time I've been at this for
[0:02:38] Voice 1: six this is my 16th year with the trust so this is my this is actually it's only my second website
[0:02:45] Voice 1: with the trust over 16 years we've only had two websites and so we had the last website what I'll
[0:02:52] Voice 1: call the original for a very long time and we had it long enough that we went through multiple
[0:02:57] Voice 1: generations of technology so we fell way behind so by the time we got to a year and a half ago or I
[0:03:05] Voice 1: guess just before when we're developing so like two years ago two and a half years ago when we
[0:03:11] Voice 1: actually initiated this project our our existing website was way out of date there was problems
[0:03:18] Voice 1: at that point we'd adult we'd built three sites so the trust really was comprised of three websites
[0:03:25] Voice 1: and that being islands trust itself the conservancy built its own site and actually mapping
[0:03:31] Voice 1: as we expanded our online mapping capacity mapping built its own site as well and so there was three
[0:03:37] Voice 1: three separate URLs, three separate sites that we were attempting to navigate through
[0:03:41] Voice 1: and the public was attempting to navigate through, which was muddling our story seriously.
[0:03:46] Voice 1: The biggest problem, though, with all of those sites was that that technology change was
[0:03:52] Voice 1: that we went from being, you know, a two-dimensional, you know, single-size monitor sort of world
[0:03:59] Voice 1: to mobile.
[0:04:00] Voice 1: And our website was non-responsive, non-responsive meaning that it couldn't adjust.
[0:04:07] Voice 1: to different size displays so we were not mobile compliant and that was the biggest complaint that
[0:04:12] Voice 1: we got from folks we also had a good deal of folks pointing out that there was too many pages
[0:04:18] Voice 1: we were i think we're in the order the honest trust website itself was in the order of 450 pages
[0:04:24] Voice 1: so it made navigation incredibly difficult
[0:04:28] Voice 1: we broke all the rules way too deep way too many pages not mobile compliant even our document
[0:04:36] Voice 1: management at the time was ill-conceived in the sense that Google was we had way too many
[0:04:44] Voice 1: transitory documents in there to the point where we were at risk of serving up which this our
[0:04:48] Voice 1: documents serving documents on the website is a public record and our public records were confusing
[0:04:54] Voice 1: because we we weren't cleaning up our documents such that Google was indexing all our documents
[0:05:00] Voice 1: so if you did a search there was a risk for a bylaw there was a risk that you could pull up
[0:05:04] Voice 1: the wrong bylaw that you would pull up the old bylaw instead of the new bylaw or you would get
[0:05:09] Voice 1: both in your search results which was insanely confusing for the public so our document library
[0:05:15] Voice 1: was not being managed correctly or at least it was getting muddled with time you know 10
[0:05:20] Voice 1: 10 years and you can do a lot of damage just through mismanagement and not taking care of it
[0:05:26] Voice 1: and so we actually we um before we went to the stage of saying we're going to throw this stuff
[0:05:30] Voice 1: out, we went to refactor it, which is, let's polish it. Let's see if we can clean it up.
[0:05:36] Voice 1: And so we took the conservancy site initially, because it was the newest of the sites,
[0:05:40] Voice 1: and we asked a developer to make that site mobile compliant, or to make it responsive,
[0:05:51] Voice 1: device responsive. What we quickly learned, and we were instructed by the contractor that
[0:05:56] Voice 1: wanted to run for the hills after working with us on it for a while was that you will never get
[0:06:01] Voice 1: to the point where we have a modern website refactoring an old website it was too expensive
[0:06:07] Voice 1: too labor intensive done they told us they told us to stop we kept asking them to keep going
[0:06:14] Voice 1: because we recognized that the next next step was insanely expensive or it could be insanely
[0:06:20] Voice 1: insanely expensive. So once we realized that we were out of luck with refactoring, we started to
[0:06:26] Voice 1: look seriously at replacement. In order to do that, because we don't build websites, we needed
[0:06:31] Voice 1: to understand the cost. So we went to an RFI, which is a request for information, we asked the
[0:06:36] Voice 1: industry to respond back to us and tell us what we'd expect as rebuilding a site our size. The
[0:06:41] Voice 1: numbers that came back were a little bit scary. The average was $250,000. So that informed our
[0:06:48] Voice 1: process it scared us so typically in a development process for a website you do discovery design and
[0:06:55] Voice 1: development and those are usually a single product or a single project based on the price and the
[0:07:03] Voice 1: cost that we thought was coming we decided to break it apart it actually worked kind of nice
[0:07:08] Voice 1: with fiscal years and we did the discovery first to inform the design and the development
[0:07:13] Voice 1: And so we hired, through RFP, we awarded the discovery phase to Be the Change, a consulting group out of Vancouver.
[0:07:25] Voice 1: And that discovery phase, we looked at our analytics, Google Analytics, reviewed it to understand what people were doing on our site.
[0:07:33] Voice 1: We reviewed the visual and the visual content, so we did a visual content audit.
[0:07:38] Voice 1: it we did um we did interviews with 11 key informants the key informants included trustees
[0:07:46] Voice 1: staff public um i don't claire you might want to jump in there if i'm missing anybody
[0:07:52] Voice 1: we did two focus groups we did five we had 587 people individuals respond to a survey
[0:08:01] Voice 1: and that discovery process from the results of all that
[0:08:05] Voice 1: that engagement with our stakeholders being in the public the trustees and staff is that we were told
[0:08:13] Voice 1: our navigation was horrible it was incredibly hard to navigate 450 pages no surprise nobody
[0:08:19] Voice 1: would want to have to do that and there was a need for better communication about the trust
[0:08:24] Voice 1: the big running joke is or at least for my world I constantly get are you a bank and our website
[0:08:31] Voice 1: site wasn't telling the story clear enough. It wasn't telling the story of what the Islands Trust
[0:08:36] Voice 1: was, who we were, what we did, and what we didn't do, actually, and Claire will get to that in a bit.
[0:08:42] Voice 1: There was also an express need for better local context, so more of a focus on the LTCs
[0:08:52] Voice 1: as opposed to a focus on the trust area. So after we finished the RFP, or sorry, the RFP of the
[0:09:00] Voice 1: the discovery phase, we took that to trust council
[0:09:03] Voice 1: and we sold the website rebuild,
[0:09:06] Voice 1: the design and the rebuild based on that discovery.
[0:09:08] Voice 1: We need to do it.
[0:09:09] Voice 1: The discovery is telling us exactly how
[0:09:12] Voice 1: or what we need to do.
[0:09:13] Voice 1: And this is our estimate based on what we got
[0:09:17] Voice 1: out of the discovery phase.
[0:09:19] Voice 1: This is our estimate for what it's gonna cost.
[0:09:22] Voice 1: We were awarded that through budget.
[0:09:25] Voice 1: And then we put out an RFP that following fiscal
[0:09:29] Voice 1: fiscal for the design and the development, and it was awarded to a company out of Vancouver
[0:09:34] Voice 1: called Graphically Speaking.
[0:09:35] Voice 3: Mark?

[0:09:40] Voice 3: I really don't want to be rude about this, but where is this going?
[0:09:44] Voice 3: Why are we hearing about the history of the website?
[0:09:49] Voice 1: Why
[0:09:49] Voice 3: is it important?
[0:09:51] Voice 1: I think it's important because it informs the structure of the website.
[0:09:55] Voice 1: site it informs our design like the existing design decisions like our the design of our
[0:10:02] Voice 1: document library the design or the layout of the pages how many pages the navigation methodologies
[0:10:09] Voice 1: or how you can navigate the site what the story is that we tell and we get a fair amount of feedback
[0:10:15] Voice 1: from from the from folks and i'll call it criticism we may get criticism and this information informs
[0:10:23] Voice 1: forms it. We didn't come up with this ourselves. The discovery phase informed the design of this
[0:10:30] Voice 1: site, is what I guess the point is. And that's what I wanted to share. Does that answer your
[0:10:37] Voice 1: question?
[0:10:38] Voice 3: Yeah, I guess it does. I'm having trouble seeing the value of it. And I'm not
[0:10:45] Voice 3: saying that to be disrespectful. And I can appreciate that being in the middle of a big
[0:10:49] Voice 3: project like that, that burns into your memory and it's prominent for you. But as a new trustee,
[0:10:55] Voice 3: It's I'm interested in knowing about the things about the website that I need to know now to do my job.
[0:11:04] Voice 1: Well, the good news is I'm done talking about the old site.
[0:11:08] Voice 1: OK, now Claire's going to Claire's going to take it and we're going to talk about the new site.

[0:11:13] Voice 4: OK, well, first, I see that Trustee Yates has a question.
[0:11:17] Voice 8: Thank you, Claire. I just wanted to let Trustee Bernardo know that I've been looking at the trust website
[0:11:24] Voice 8: since it was invented and I have to be totally honest even though I know all about the problems
[0:11:31] Voice 8: of the old one I actually found navigating the old one easier however I did not know about all
[0:11:40] Voice 8: the inaccuracies and and the other reason that the history is important is because people don't
[0:11:46] Voice 8: understand how what an important budget item that is when you have to update your website and it's
[0:11:54] Voice 8: that big of a project it's actually really good to hear from mark why it was so expensive and so
[0:12:01] Voice 8: i actually do appreciate that thank you okay so with that
[0:12:07] Voice 4: um i will share the website
[0:12:11] Voice 4: so what we're going to do tonight is kind of walk you through some of the key features and so on and
[0:12:16] Voice 4: we'll just sort of tie it back to what we heard from the public and from the key oh are you seeing

[0:13:55] Voice 4: also what is sort of a hot topic of the day these are very changeable if we want to highlight

[0:14:05] Voice 4: about the islands trust information highlighting the Conservancy was a key
[0:14:09] Voice 4: thing we did when we brought the three sites together highlighting you could
[0:14:14] Voice 4: subscribe reconciliation mapping and then all of this information in the
[0:14:19] Voice 4: footer to help people navigate so up top here what we're going to do is take you
[0:14:25] Voice 4: to what we heard from the public what they wanted to be able to do very easily
[0:14:28] Voice 4: which was get local information so most people coming into the islands trust are interested in
[0:14:34] Voice 4: local information so we've got the sub menu here under island planning where you can pick a local
[0:14:39] Voice 4: trust committee does anyone want anyone want to nominate which one we should visit tonight
[0:14:43] Voice 4: not
[0:14:47] Voice 7: hearing anyone let's pick up top here we'll go to gabriela so

[0:14:52] Voice 4: this they're all laid out the same and they have the secondary menu and this is not necessarily
[0:14:57] Voice 4: necessarily how you'll see most sites. And this is what I think some members find complicated.
[0:15:03] Voice 4: But one feature I want to point out to you here is you can set your location up here,
[0:15:07] Voice 4: and you can pick your favorite local trust area. And then when you revisit the site,
[0:15:11] Voice 4: this will be your new homepage. So for constituents, this is something you can point
[0:15:15] Voice 4: out is that if they're looking for local information quickly, we've got this area
[0:15:18] Voice 4: where you can geolocate and pick where you want to be. And this was a key request that we learned
[0:15:23] Voice 4: that people want to have. So as you move through your local trust area information,
[0:15:27] Voice 4: We've got meetings and minutes, bylaws, bylaw compliance, and these are a mix of local information and commonly used information.
[0:15:36] Voice 4: What I will point out here, which will be important later as we get to the document library, is we'll visit the projects page for a local trust committee.
[0:15:45] Voice 4: And as we look at the projects, so Gabriela has projects here, you'll notice there's a series of folders.
[0:15:51] Voice 4: builders. These have the transitory documents. So these are the temporary documents associated
[0:15:56] Voice 4: with a particular local trust committee project. So they're temporary in nature and they only exist
[0:16:03] Voice 4: so long as that project or that bylaw is happening. These are not searchable through
[0:16:08] Voice 4: the main search engine. So that is sometimes we get public calling going, I can't find the
[0:16:12] Voice 4: thing related to the project. And so we'll just steer them to the project page and say, there it
[0:16:16] Voice 4: is because we're using the main search engine for the long-term documents for the durable ones
[0:16:22] Voice 4: because we found with the last website it's just too difficult to expect our
[0:16:26] Voice 4: admin staff to clean them up and over the years these transitory ones just accumulate
[0:16:31] Voice 4: so that is the same for current applications we have those same transitory folders
[0:16:35] Voice 4: so these are commonly visited pages along with the land use application guide and form page
[0:16:41] Voice 4: that we find that all applicants realtors new residents are coming into this page to have a
[0:16:45] Voice 4: to look around. As we go back to the Gabriela main page here, I'll show you there's three
[0:16:52] Voice 4: different ways. So I've just used my back button to get around, but I could also have gone back
[0:16:56] Voice 4: to the main page here. I'll go back to the main Gabriela page here. I could also have used over
[0:17:02] Voice 4: here to get back. So there's a variety of options of how you can navigate. So on this local trust

[0:17:49] Voice 4: another thing we heard from the public is there's a lot of people that don't live on what we call a major island.
[0:17:54] Voice 4: They live on an associated island. So we were able to have that here that people can now find their way.
[0:17:58] Voice 4: Or if someone calls you from an island, you can use this page to figure out where they are in the trust area.
[0:18:04] Voice 4: Your local meetings are here on your local page. Here you can click through to meet your local trust committee.
[0:18:09] Voice 4: and this is where your profiles are.

[0:18:37] Voice 4: that they wanted a space to post just information that's not trust-wide that's applicable to them.
[0:18:43] Voice 4: So this is something you can reach out to your local planning team assistant, and they will be
[0:18:48] Voice 4: able to help you make this page how your local trust committee wants it. Often the changes to
[0:18:52] Voice 4: this page are made by local trust committee resolution, but that will really be, you know,
[0:18:56] Voice 4: up to you to determine locally. Any questions about

[0:19:22] Voice 5: I think it would be very helpful if there was a centralized location for those as well as these so that you don't have to go island by island.
[0:19:30] Voice 5: And one other comment that's general about the website is, it seems that the graphics are disproportionately large.
[0:19:41] Voice 5: And when you reduce the size, the scale of the graphics kind of still remains large and the text shrinks.
[0:19:52] Voice 5: But anyway, that's just a comment. Thank you.

[0:20:08] Voice 4: the next menu, which is the conservancy. So this is, fairly self-explanatory, the conservancy.
[0:20:13] Voice 4: One of the main goals of this site was to bring in the conservancy and make it appear more integral
[0:20:18] Voice 4: to the trust rather than having its own site, and to increase the traffic. We have accomplished that
[0:20:22] Voice 4: with this redesign. So here we are. A key place we just want to show you is Protect Nature. If you
[0:20:28] Voice 4: have constituents who are interested in finding out more about what the conservancy does and
[0:20:32] Voice 4: how they can protect their land this is the section of the website that really offers that
[0:20:37] Voice 4: all the information about caring for land and donating land is here and there's a lot here
[0:20:43] Voice 4: to explore i won't go through all of it today but just wanted to point out that this is where you
[0:20:47] Voice 4: would send people if they really are interested in protecting their land or learning about things
[0:20:53] Voice 4: where i'm going to take you today just for a little look is the protected places page
[0:20:59] Voice 4: So on this page is the list of the conservancies they have 113 protected areas. And for your island if you're interested in knowing what they are.
[0:21:08] Voice 4: You can click through that take a tour button that I just clicked, and let me know if I'm going too quickly here.
[0:21:14] Voice 4: You arrive at this page which is that interactive map where we can pick an island and let's head over, head over to Howe Sound here.

[0:21:33] Voice 4: and so this is available for all the islands so this will allow you to explore the protected areas

[0:23:46] Voice 4: have it, based on good design, in the middle of the menu, prominently named, easy to access.
[0:23:52] Voice 4: One of the things we heard about the trust was that people didn't know what the trust was,
[0:23:55] Voice 4: right? We've had real trouble trying to educate people. So one of the things that we've done is
[0:23:59] Voice 4: created a variety of ways to deliver that. One of the things we did, which is in need of an update,
[0:24:04] Voice 4: date I'm aware, was create this interesting facts page. I'll just give, show you this. So this just
[0:24:11] Voice 4: sort of has interesting facts. And again, welcome your suggestions and ideas as to what could be on
[0:24:16] Voice 4: here. But just sort of showing interesting facts about the Islands Trust. So I encourage you to
[0:24:20] Voice 4: poke around in here. Some of it is a need of update based on the new census that we've got.
[0:24:26] Voice 4: So sort of showing, you know, comparisons with British Columbia, the amount of properties that
[0:24:31] Voice 4: were held owned locally in 1978 was only 10 percent and now it's more than half of trust properties
[0:24:36] Voice 4: are owned locally so that's a trend when we hear that it's owned by people outside the trust area
[0:24:41] Voice 4: we're able to demonstrate how that's shifting people are often really surprised by this number
[0:24:46] Voice 4: two half a million visitors a year to the region and the complexity of governance i'm very
[0:24:52] Voice 4: interested to update these statistics once the new census data arrives shortly we and i'll explain
[0:24:57] Voice 4: we'll get we get custom census that we've ordered for the trust area um to see how things have
[0:25:01] Voice 4: shifted. I'm expecting quite a spike to happen. So as you come across interesting facts about the
[0:25:07] Voice 4: trust area, pop them my way and we'll be able to update this page. Other things that are interesting
[0:25:14] Voice 4: that we heard from the public is there was a lot of confusion about what the Islands Trust offers
[0:25:18] Voice 4: and what it does not offer. So we created this page, which I think should be helpful to you as
[0:25:23] Voice 4: a trustee too, as you get calls from constituents and they want to know about something that's not
[0:25:29] Voice 4: in your basket of what the Islands Trust offers, you can go here and have a look to help give them
[0:25:35] Voice 4: that information. And while this is helpful, what we find is most helpful is this, where people want
[0:25:41] Voice 4: to report a concern and they don't know where to go. This is quite helpful around, I would say,
[0:25:47] Voice 4: our calls to our front desk, since this page has become known, has probably gone down by at least
[0:25:51] Voice 4: half. So it's really been effective in helping people figure out where to navigate all of
[0:25:55] Voice 4: government to report something that they're worried about if you're getting questions that
[0:26:00] Voice 4: aren't answered here again let us know and we can update this and improve it over time um i hear from
[0:26:06] Voice 4: when we launched the website i did hear from trustees this is one of the most useful things they
[0:26:09] Voice 4: they took away from it um so i'll stop there around mapping and resources i'll turn over to
[0:26:15] Voice 4: mark to come back to mapping the what's happening menu offers um and again i'll just say this was
[0:26:20] Voice 4: named this way because these were miscellaneous that needed a home really i see uh trustee yates

[0:29:37] Voice 4: entities. I've done my best here to write this page in a way that will help people navigate it
[0:29:43] Voice 4: all. So you can scroll down here and each type of body has a slightly different way of engaging.

[0:33:55] Voice 1: documents which will open it up and show you that you've selected every subcategory or what you can
[0:34:02] Voice 1: do is just navigate to meeting documents the underline indicates that there's an action and
[0:34:08] Voice 1: so then you can go in here and you could select agendas so in theory you could pick your
[0:34:13] Voice 1: jurisdiction and do a search on agendas and it'll get all of gabriola's agendas and here we have
[0:34:22] Voice 1: 173 results we can navigate through the pages we can change our results view to a list view
[0:34:31] Voice 1: or go back to the grid or card view so you can go and remove elements of your search here or clear
[0:34:40] Voice 1: clear every search before proceeding to another one I'd also point out date ranges and just the

[0:35:49] Voice 1: whether it's an agenda minutes a report everything is tagged with conservancy so this becomes the
[0:35:55] Voice 1: high level filter for the conservancy we can see that there's i think if we run the search there
[0:36:01] Voice 1: you can see our total number of documents before i put a filter on we're up to 507 or 5700 and so
[0:36:08] Voice 1: there's 408 total documents here for the conservancy and we can do the same thing we can

[0:37:57] Voice 1: automatic search we took that out you have to actually execute the search by clicking on the
[0:38:01] Voice 1: button and that we got feedback was there's too many searches happening every time you change the
[0:38:06] Voice 1: parameters um so I went through primary secondary um the only other thing I wanted to mention here
[0:38:13] Voice 1: was this concept of the view so we can see that each one of these has a measure of size and that's
[0:38:20] Voice 1: That's again, just a modern way to address the mobile users
[0:38:25] Voice 1: or to recognize the mobile users
[0:38:27] Voice 1: because a mobile user may not want to try to download
[0:38:30] Voice 1: a trust agenda, which is rather large, 300 plus pages.
[0:38:35] Voice 1: So I think that's the bulk of what I wanted to show you
[0:38:39] Voice 1: with the document library.
[0:38:41] Voice 1: If there's any questions,

[0:39:23] Voice 5: Is there a possibility of starting to index those even under a different category, you know, type of document, staff report or briefing?
[0:39:33] Voice 5: thing thank you um i
[0:39:36] Voice 1: think i'll answer the last one first um i it's definitely a possibility it's
[0:39:40] Voice 1: just a matter of how we change how we design our metadata so we can we can certainly look at that
[0:39:45] Voice 1: no problem um the the first one actually you could probably help me could you remind what
[0:39:51] Voice 1: was the first question oh design wise keywords so you've just identified another major issue
[0:39:58] Voice 1: with the site actually or you brought it up so there's two ways to search there's the keyword
[0:40:06] Voice 1: search can search the titles but to search the documents you need what's called a parser
[0:40:11] Voice 1: and the parser that we have is giving up the ghost when it hits the large documents
[0:40:17] Voice 1: so it'll hit a trust council agenda which can be three 600 pages and it can't handle it so
[0:40:24] Voice 1: So our parser, the one that came with our developed and delivered site, is having a problem with the size of our documents.
[0:40:33] Voice 5: Maybe you could just parse the agenda part, you know, the first five pages or whatever would give you a lot
[0:40:39] Voice 5: of the content.
[0:40:40] Voice 5: Anyway,
[0:40:40] Voice 1: it actually it's parsing a fair amount of the documents.
[0:40:43] Voice 1: The problem is it's going through our library and it hits one that has
[0:40:46] Voice 1: a problem with and then it stops.
[0:40:48] Voice 1: So what our solution right now or what the direction we're taking is exploring alternative parsers.
[0:40:54] Voice 1: and the problem we're running into that is based on the issues we're having with this parser we're
[0:41:00] Voice 1: identifying that it's probably a fee-based parser that will have to pay a service and that'll be a
[0:41:05] Voice 1: budget requirement so a good deal of a good deal of what's what's involved with this site and
[0:41:11] Voice 1: improving this site comes with a dollar requirement beyond basic support of maintenance so this will
[0:41:19] Voice 1: be a common theme whenever i think with some of the questions that we have bugs no we will maintain
[0:41:24] Voice 1: and fix bugs. But when it's a design change in consideration, even for briefings, we'd have to
[0:41:29] Voice 1: change our data model. There's a cost. So I'm just going to keep going. I want to point out that this
[0:41:35] Voice 1: is one way to access documents, but there's other ways to find your documents. And in particular,
[0:41:41] Voice 1: meeting documents, probably the most common document, desired documents. So the other way
[0:41:47] Voice 1: to get to your meeting documents is to go to meetings meetings and events so you would search
[0:41:55] Voice 1: basically on the event which will get you to the agenda in the minutes this is probably the most
[0:42:00] Voice 1: common way that folks access those documents so what i want to search or what i want to show you
[0:42:06] Voice 1: here is that this site is the search filters the design of this site is different the reason for
[0:42:12] Voice 1: that is because we redesigned the first one or that the meeting documents one because of the
[0:42:17] Voice 1: feedback that we got so we now have two different ways of doing it but this one works because this
[0:42:24] Voice 1: becomes the primary search tool for most folks they usually go through the calendar but they
[0:42:29] Voice 1: still can filter you can still put keywords in you can put type of body region and type of meeting as
[0:42:35] Voice 1: well it'll be reported back in a list view or you go to the the date itself and it's going to report
[0:42:43] Voice 1: it's going to return each of the meetings of that date once you get to the date you can go
[0:42:49] Voice 1: view details and in the in the event itself you'll have access to the meeting documents
[0:42:57] Voice 1: so a somewhat more intuitive perhaps way of accessing a meeting document when you're in
[0:43:03] Voice 1: In this dialogue, once you go into the meeting event itself,
[0:43:07] Voice 1: most of our public meetings,
[0:43:08] Voice 1: LTCs in particular, committee meetings, are streamed.
[0:43:12] Voice 1: So they're publicly accessible to remote participants
[0:43:16] Voice 1: or remote viewers.
[0:43:18] Voice 1: And so there's a couple of ways that you,
[0:43:20] Voice 1: there's a couple of different interfaces here
[0:43:22] Voice 1: that you're gonna see.
[0:43:23] Voice 1: You're gonna see attend, watch live, and watch recording.
[0:43:28] Voice 1: Attend is when you join a webinar.
[0:43:30] Voice 1: are watch live is when you see the when you're seeing the live stream and obviously watch record
[0:43:36] Voice 1: is post meeting where you can review that content and is there any questions about that this is a
[0:43:44] Voice 1: common interface so there may be some questions or concerns could

[0:43:53] Voice 1: it's a different, I have to go back. It's a different interface again. It's not one click, it's multiple. So it just simply opens up a dialogue. This is a bug that it moves around the screen, but it is selectable.

[0:44:36] Voice 1: This is a standing bug, the whole issue with the calendar popping up and over to another part of the screen.

[0:44:53] Voice 1: though. Another common way would be, and I'm just going to go back to the home page so it looks a
[0:44:58] Voice 1: bit more standard, you can come in and do a search. This is a new feature to get you to documents. So

[0:46:57] Voice 1: and get here to map it but we're also interested in data apps and maps so to do that we've organized
[0:47:08] Voice 1: it by trust areas. And so you can navigate to your trust area through the sidebar menu
[0:47:17] Voice 1: and through or and or through this map dialog. So you can see the responsiveness of Gambier
[0:47:25] Voice 1: or you can just go over to Gambier and Bowen this way. If we go to a trust area, we see

[0:48:11] Voice 1: LTA pages as well. Ecosystems are commonly requested. And if we don't want to reorganize

[0:48:26] Voice 1: available on the bylaw page for every LTC. This will get you to the Gambier bylaws and the bylaw

This tech came out, we've been looking at MAPIT now for, I'd probably say it's approaching six to ten years. So there is a new framework from the Esri products.

[1:01:36] Voice 3: be able to just know who to talk to and have that name and contact information in the page for the

[1:01:51] Voice 4: with this site design is take staff names off it um for a couple of reasons one of which security
[1:01:57] Voice 4: we were having more and more instances of staff being phished which is where um someone impersonates
[1:02:02] Voice 4: like the cao or a member of a person of authority and tries to trick them into getting money and we
[1:02:08] Voice 4: had several instances of our staff actually losing money because they got fooled into this
[1:02:13] Voice 4: So that was one of the reasons that we took staff names off the site and we now direct people into
[1:02:19] Voice 4: more generic pieces. Another reason was we had people sort of planner shopping to get
[1:02:23] Voice 4: different answers to the same question and so we wanted people just to come in and try and talk to
[1:02:28] Voice 4: the planner responsible for the file was another. And the third was we often have people back
[1:02:34] Voice 4: filling for each other and it becomes tremendously difficult to keep the site entirely up to date
[1:02:38] Voice 4: with all the staff comings and goings that we have between different planning departments.
[1:02:43] Voice 4: So that was a decision we've made. Originally, we were getting feedback around this. It has
[1:02:47] Voice 4: really stopped, I think. We seem to be doing a fairly good job of channeling people in.

[1:02:55] Voice 4: contact information from their email footer. Again, happy to revisit this decision. If,
