Wednesday, July 23, 2025 at 9:15 a.m.

client privilege, including communications necessary for that purpose, and that staff attend

SUBJECT:
Scheduling of public webinar re draft new Policy Statement
RECOMMENDATION: That Executive Committee select September 10, 2025 for delivery of
a public webinar about the draft new Policy Statement.
CHIEF ADMINISTRATIVE OFFICER COMMENTS: A webinar (workshop) about the draft new
Policy Statement was endorsed by Trust Council through approval of the project charter. Staff
reviewed the committee meetings calendar prior to selecting the recommended date.
1 PURPOSE: To request that Executive Committee select a date for a public webinar about
the Policy Statement Amendment Project.
2 BACKGROUND:
The proposed webinar is described as a workshop in the Policy Statement Amendment
Project Charter. It will be facilitated by consultant partner Be the Change. Participation by
the Chair and/or Vice-Chairs is desired.
The format of this webinar is being determined in coordination with Be the Change.
Options include a townhall-style Q&A or online breakout rooms. Staff hope to provide
Executive Committee with a verbal update on the proposed format at its July 17, 2025
meeting. Regardless of format, outcomes of the webinar will be documented and provided
to Trust Council to inform its consideration of further Policy Statement revisions.
The evening of September 10 was identified as the preferred date as it comes after the
summer holidays, but before too much time has passed after first reading and early in the
engagement process. Hosting of the webinar prior to most, if not all of the local trust
committee engagement events will also assist with getting well-informed feedback at
those sessio
